About the Service

We build, set up, and manage your preventative maintenance (PM) system from scratch, then run it for you on an ongoing basis. That means cataloging your equipment, scheduling all your PM tasks, sending automated reminders to your team, escalating overdue items to you, and giving you a live dashboard of your operation. You don't need to touch a spreadsheet or learn new software.

None. Your team interacts with the system by scanning a QR code on a machine and filling out a 60-second form on their phone. No app to download, no account to create. The owner gets a clean dashboard they can sign in to and check anytime from any browser.

Those platforms require you to set everything up yourself, pay per user ($16–$75/person/month), and train your team on new software. We handle all of that for you and charge a flat monthly fee regardless of how many employees you have. Most of our clients were using spreadsheets or nothing, so this isn't a software switch. It's adding a system you've never had.

Pricing & Commitment

We charge a flat monthly subscription based on how many pieces of equipment you have, not how many employees use the system — so adding people never costs more. There's also a one-time onboarding fee to cover the setup work. Your exact price comes out of the free PM audit, which is where we count your assets and see what shape they're in.

Everything it takes to get you live: a facility walk-through where we photograph and catalog all your equipment, full system build, QR code labels printed and delivered, automation setup, and a go-live training session with your team. After that, your system is running.

No long-term contract required. You can cancel with 30 days written notice. The onboarding fee is non-refundable since that work is completed at setup.

Yes. Founding clients in the Charlotte area get 50% off the one-time onboarding fee, in exchange for honest feedback and a testimonial once we've delivered. The monthly subscription stays at the standard rate.

Setup & Onboarding

Our target is under two weeks from signed agreement to go-live. The onboarding process includes a facility walk-through, workspace build, automation setup, QR code delivery, and a training session.

If you're near Charlotte, yes, and we prefer it that way. Doing the walk-through in person lets us photograph equipment accurately and make sure nothing gets missed. If you're farther out, we run the same walk-through over video with one of your employees.

Very little. Any existing maintenance documentation you have (even a rough spreadsheet or notebook) is helpful but not required. We'll collect everything we need during the walk-through.

How It Works Day-to-Day

Every piece of equipment gets a QR code label. When a technician completes a task or notices an issue, they scan the code with their phone camera, fill out a short form, and submit. It takes about 60 seconds and requires no app or account. The same label also lets anyone at the machine report a problem in about 20 seconds, so a gym member can flag a broken treadmill without hunting down a manager. Those reports go to you and to us right away, safety hazards get flagged, and you can turn public reporting off if you'd rather keep the label technician-only.

The system automatically sends a reminder email to the assigned person three days before the task is due. If it goes two or more days past due, an escalation email goes directly to you (the owner) with a list of everything overdue.

You get a dashboard showing your overall PM compliance rate, upcoming tasks this week, overdue items, and equipment status. You sign in at app.avertautomation.com from any browser, on your phone or at a desk, and there's nothing to install. Your crew never needs an account of their own, since all they do is scan the QR code on the machine.

You contact us and we handle it, typically within one business day for routine changes. You don't touch the system directly — that's by design. It keeps everything accurate and consistent.

Geography & Fit

Yes. We're based in Charlotte, NC, and we work with businesses wherever they are. If you're nearby, we come out and walk your facility in person. If you're farther out, we run the walk-through over video with someone on your team. Everything after that is the same either way: QR labels, scheduling, reminders, escalations, and your monthly reports.

Any business with equipment that costs real money when it breaks. Our clients today are machine shops, metal fabricators, and commercial mechanical contractors, and the same system fits a gym with rows of cardio equipment, an auto shop running lifts and compressors, or a property manager tracking HVAC and appliances across a portfolio of units. If you own equipment and somebody has to remember to service it, we can build the program around it.
